Recording Access Policy

Effective date: September 2026

12 Petalled Lotus records selected live online courses and webinars to provide registered participants with limited-time access to the teaching.

This policy explains how recordings are created, shared, accessed, and protected.

WHAT IS RECORDED

Recordings primarily focus on:

• Cindy’s teaching
• shared presentation material
• demonstrations intended for the full group
• general questions and discussion relevant to the learning

Participants will be informed when recording begins.

A participant’s displayed name, image, voice, chat contribution, or question may be captured when they choose to participate during a recorded portion.

PARTICIPANT CHOICE

Participants may:

• keep their cameras off
• adjust the name displayed on Zoom
• participate through listening and private reflection
• choose whether to speak during the recorded portion
• avoid sharing personal or identifying information
• ask whether a personal question can be discussed privately or outside the recording

Personal disclosure is always optional.

PAID COURSE RECORDINGS

Each paid fall course includes recordings of both sessions.

Recordings will generally be added within 24 hours of each live session.

Both recordings remain available until 11:59 PM MT 14 days after the second session.

Fall 2026 Course Expiry Dates

  Recording access ends November 24, 2026, at 11:59 PM Mountain Time.

  Recording access ends December 8, 2026, at 11:59 PM Mountain Time.

Participants receive an email when the recordings are ready and a reminder before access expires.

FREE WEBINAR RECORDINGS

Each free Wednesday Webinar recording remains available until 11:59 PM Mountain Time seven days after the live session.

Fall 2026 Webinar Expiry Dates

• September 30 webinar — access ends October 7
• October 14 webinar — access ends October 21
• October 28 webinar — access ends November 4
• November 11 webinar — access ends November 18
• November 25 webinar — access ends December 2

Registration for the live webinar is required to receive recording access.

IF A RECORDING IS DELAYED

Recordings are generally provided within 24 hours.

If a technical or administrative delay significantly shortens the promised viewing period, access will be extended so participants receive the intended amount of time.

Participants will be notified of any material delay.

HOW RECORDINGS MAY BE USED

Recording access is provided for the registered participant’s personal learning.

Recordings may not be:

• downloaded unless 12 Petalled Lotus explicitly enables downloading
• copied or screen-recorded
• shared with another person
• displayed to a group
• uploaded to another platform
• published or distributed
• used to teach or reproduce course content

Registration and recording links are for the registered participant only.

ACCESSIBILITY

Participants who encounter an accessibility barrier with a recording are encouraged to contact 12 Petalled Lotus as soon as possible.

Reasonable support may include:

• help locating or accessing the recording
• clarification of captioning errors
• an alternative learning format where available
• a short access extension when an accessibility barrier has materially affected the viewing period

Requests will be considered according to the participant’s needs and the available course format.

TECHNICAL DIFFICULTIES

Participants should contact 12 Petalled Lotus promptly if a recording link fails or course access is unavailable.

When a platform issue prevents access for a meaningful portion of the viewing period, an appropriate extension will be provided.

Individual internet, device, password, or scheduling difficulties do not automatically extend the access period. Reasonable technical guidance may be available.

PRIVACY AND EDITING

12 Petalled Lotus may edit recordings before release to:

• remove private or sensitive discussion
• reduce unnecessary participant information
• remove breaks or technical interruptions
• improve clarity
• protect the integrity of the learning environment

Participant contributions may be excluded from the released recording at the discretion of 12 Petalled Lotus.

WHEN ACCESS ENDS

Recording access closes automatically at the date and time stated in the access email. Participants are encouraged to watch the recording before the final day in case they require technical assistance. Expired recordings are not routinely reopened.
